Spam or Unsolicited Commercial Email is here to stay or at least until technology changes dramatically. Unfortunately when email was being invented security was not a concern, and it is its simplicity and lack of security that make sending Spam so easy. Many people ask why do spammers do it? If they did not make money out of it they would not go to all the trouble. Although everyone hates receiving SPAM, a small percentage of people buy a product as a result of receiving spam. Many also fall for the scams that are promoted by spam.

For company’s using POP email; then many Internet Service Providers (ISP) will block spam for you. This is often free, but there is usually no way to recover emails that should not have been blocked. POP is a basic email collection protocol and is not the best choice for companies.

Software on the users PC is another solution, but it has to be installed and administered, often by the user. Company’s with email servers will often have anti-spam software combined with the antivirus software on the server. This can be a good solution, but the spam takes up bandwidth on the company Internet connections before being rejected. The best alternative is to use an external SPAM filtering service.  The way this works is that all email for a company’s domain is routed to the service. The service cleans the email of viruses and spam and forwards the legitimate email to the company’s email server. This service will even be able to filter out invalid recipient names by maintaining a list of valid recipients which it updates automatically from the email server. There are many advantages to this system. No bandwidth is taken up with SPAM. Software does not need to be regularly updated on servers and workstations, and it is easy to monitor and is excellent value for money.

As with most things in IT, there are several ways to combat spam.

Email Footers

It is very common for companies to have legal disclaimers on the bottom of all their outgoing email. Historically this has been done by adding it to the bottom of the user’s signatures on each computer. This is not a very efficient way to do it for numerous reasons.

  • Each user has to add it
  • Each machine must be configured independently
  • If the user gets a new machine, they have to add the signature again.
  • If the user has one or more mobile devices, these all have to have the signature added.
  • If there is a change in the wording, every single device needs to be updated.
  • Errors and omissions lead to the inconsistent wording on footers or even no disclaimer at all.

This all adds up to an error-prone system where maintaining a consistent disclaimer on the bottom of all corporate email is practically impossible.

There is a better way. With the email anti-virus and the anti-spam solution, we can add a disclaimer for the whole domain. Each user can still add their personalised signature, but the corporate disclaimer is added underneath. When the disclaimer wording needs to be altered this can be done centrally with absolute certainty, it will change on all outgoing email.
